Why Zoho Books for UAE businesses?
Zoho Books is a cloud accounting platform with a built-in UAE VAT module, Arabic invoice support, multi-currency handling, and a free tier that supports up to 1,000 invoices per year — making it one of the most cost-effective options for UAE startups and SMEs. The platform supports FTA-compliant tax invoices with all 12 mandatory fields, automated bank reconciliation via bank feeds, WPS payroll integration through Zoho People, and reporting that maps to IFRS financial statement formats. Zoho Books is FTA-accredited for VAT return preparation in the UAE. The Standard plan starts at approximately AED 55 per month, and the Professional plan (which adds purchase orders, multi-currency, and project tracking) is approximately AED 110 per month. TruAccountants configures Zoho Books for UAE clients during onboarding and uses it as the primary accounting platform for many of our managed accounting engagements.
Step-by-step setup
Step 1: Create the organisation
- Sign up at Zoho Books and select UAE as the country
- Set the base currency to AED (United Arab Emirates Dirham)
- Enter your company name exactly as it appears on your trade licence
- Set the financial year start date — typically 1 January (calendar year) or 1 July
- Enter your business address: this will appear on invoices and must match your trade licence
Step 2: Configure VAT settings
- Go to Settings → Taxes → enter your Tax Registration Number (TRN)
- Enable the UAE VAT module — this adds VAT tracking to all transactions
- Set up tax rates: Standard Rate (5%), Zero Rate (0%), Exempt, and Out of Scope
- Configure the default tax rate for sales (typically 5%) and purchases (typically 5%)
- Set the tax period: quarterly (most common for SMEs) or monthly (assigned by FTA for larger businesses)
- Enable the VAT return module — Zoho Books generates FTA-formatted VAT returns directly
Step 3: Set up the chart of accounts
- Zoho Books creates a default UAE chart of accounts — review and customise it for your business
- Add UAE-specific accounts: VAT Input/Output, Corporate Tax Payable, End-of-Service Gratuity Provision, Right-of-Use Assets (IFRS 16)
- Add non-deductible expense accounts: Entertainment (50% non-deductible), Penalties and Fines (100% non-deductible)
- For free zone companies: add sub-accounts for qualifying vs non-qualifying income
- Set up tracking categories for departments, projects, or cost centres if needed
Step 4: Connect bank accounts
- Go to Banking → Add Bank Account → search for your UAE bank
- Zoho Books supports direct bank feeds from Emirates NBD, ADCB, Mashreq, RAKBank, and others
- If direct feed isn't available, upload bank statements in CSV or OFX format
- Set up bank rules to automatically categorise recurring transactions (rent, subscriptions, bank charges)
- Connect all accounts — AED, USD, and any other currency accounts
Step 5: Configure multi-currency
- Go to Settings → Currencies → add all currencies you transact in (USD, EUR, GBP, INR, etc.)
- Set the exchange rate source: Zoho Books pulls live rates automatically, or you can set manual rates
- Note: AED is pegged to USD at 3.6725 — set this as a fixed rate to avoid unnecessary FX gain/loss entries
- Enable automatic FX gain/loss calculation for other currencies at month-end
Step 6: Set up invoice templates
- Customise the invoice template with your logo, company address, and brand colours
- Ensure all 12 FTA mandatory fields are present: supplier name, supplier TRN, customer name, customer TRN (for B2B over AED 10,000), invoice number, invoice date, supply date, line item description, quantity, unit price, VAT rate, VAT amount, and total
- Enable Arabic language if you need bilingual invoices (Zoho Books supports this natively)
- Set up payment terms (Net 30 is standard in UAE; Net 60 is common in construction/real estate)
- Enable online payment acceptance if applicable
Step 7: Import opening balances
- If migrating from another system (Excel, Tally, QuickBooks), import opening balances as at your migration date
- Import customer balances (accounts receivable opening)
- Import supplier balances (accounts payable opening)
- Enter fixed asset register with accumulated depreciation
- Enter bank balances and reconcile to bank statements on the migration date
- Post an opening balance journal to ensure the trial balance is in balance
The opening balance migration is the most error-prone step. If your opening balances are wrong, every report you produce from Zoho Books will be wrong. Have your accountant verify the opening trial balance against the prior-year audited financial statements before you start entering new transactions.
Zoho Books plans for UAE businesses
For most UAE SMEs, the Standard or Professional plan is the right fit. The Free plan lacks bank feeds, which makes reconciliation manual and slow. The Professional plan adds multi-currency and purchase orders — essential if you trade internationally or need procurement tracking.
Zoho ecosystem integrations
- Zoho People — payroll management and WPS integration for employee salary processing
- Zoho CRM — sync customers and deals to auto-generate invoices from CRM pipeline
- Zoho Inventory — stock management, warehouse tracking, and COGS calculation
- Zoho Expense — employee expense claims with receipt scanning and approval workflows
- Zoho Analytics — advanced dashboards and custom reports beyond standard Zoho Books reporting
- Zoho Sign — digital signatures for purchase orders, agreements, and contracts
Common Zoho Books mistakes in UAE setups
- Wrong financial year-end. Once set, changing the financial year in Zoho Books requires Zoho support intervention. Confirm your year-end before setup.
- Default chart of accounts used as-is. The UAE default COA is a starting point, not a finished product. Add your industry-specific accounts, UAE tax accounts, and IFRS accounts during setup.
- VAT not configured before first invoice. If you issue invoices before enabling VAT, those invoices won't appear in the VAT return and must be corrected manually.
- AED-USD exchange rate set to auto. Since AED is pegged to USD, set a fixed rate of 3.6725 to avoid phantom FX gain/loss entries cluttering your P&L.
- No bank rules set up. Without bank rules, every transaction must be manually categorised. Spend 30 minutes setting up rules for recurring transactions — it saves hours every month.
